The Global Innovation Summit ("GInS", "we", "us", "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what information we collect when you visit gins.org or register for the summit, how we use it, and the rights you have over it.

1. Introduction

This policy applies to personal information we collect through our website, registration forms, contact forms, newsletter sign-ups, and at our events. By using the website or registering for the summit, you acknowledge the practices described here.

2. Information We Collect

We collect the following categories of information:

  • Registration data — name, email address, mobile number, organisation, job title, and country, provided when you register for the summit.
  • Contact-form data — name, email, organisation, country, subject, and the content of your message when you contact us.
  • Newsletter data — your email address when you subscribe to summit updates.
  • Usage data — pages viewed, referring site, language, device type, and an anonymous visitor identifier (see section 6 below). We do not store full IP addresses; we use a privacy-preserving daily-rotating hash for fraud and abuse prevention.
  • Event data — attendance records, session check-ins, and photography or video footage captured during the summit.

3. How We Use Your Information

We use the information we collect to:

  • Process your registration and provide access to the summit;
  • Send you confirmation emails, tickets, programme updates, and post-event materials;
  • Respond to your contact-form enquiries;
  • Send newsletters and promotional updates if you have opted in (you may unsubscribe at any time);
  • Analyse aggregate site traffic to improve our content and user experience;
  • Comply with legal, regulatory, and security obligations.

4. Legal Basis for Processing

Where applicable, we rely on the following legal bases under data-protection laws such as the GDPR: your consent (for newsletters and analytics cookies), the performance of a contract (to deliver the summit you registered for), our legitimate interests (to operate, secure, and improve our services), and legal obligation (to keep records and respond to lawful requests).

5. Sharing Your Information

We do not sell your personal information. We share it only with:

  • Service providers who process information on our behalf — such as our hosting provider, our email-delivery provider (Brevo), and our anti-spam service (Cloudflare Turnstile) — under contracts that require them to safeguard your data;
  • Summit partners and sponsors only with your explicit opt-in;
  • Authorities when we are required to do so by law, court order, or to protect our rights, property, or safety.

6. Cookies & Analytics

We use a small number of strictly necessary cookies and an anonymous first-party identifier (gins_anon_id) to count unique visitors and understand which pages are most useful. We do not use third-party advertising cookies. Our analytics never store full referrer URLs, raw IP addresses, or any personal identifiers from your browser. You can clear these cookies from your browser settings at any time.

7. Data Retention

We retain personal information only for as long as necessary for the purposes described above, or as required by law. Registration data is typically retained for the duration of our relationship with you and for a reasonable period thereafter for record-keeping. Aggregated, anonymous analytics data may be retained indefinitely.

8. Security

We implement appropriate technical and organisational measures designed to protect your information against unauthorised access, alteration, disclosure, or destruction. These include encryption in transit, hashed credentials, role-based access controls, and audit logging of administrative actions. However, no method of transmission or storage is 100% secure.

9. Your Rights

Subject to applicable law, you have the right to:

  • Access the personal information we hold about you;
  • Request correction of inaccurate information;
  • Request deletion of your information;
  • Object to or restrict certain processing;
  • Withdraw consent at any time (without affecting the lawfulness of prior processing);
  • Receive a copy of your information in a portable format;
  • Lodge a complaint with your local data-protection authority.

10. International Transfers

GInS is a global event and your information may be processed in countries other than your own. Where we transfer information outside your jurisdiction, we use appropriate safeguards such as standard contractual clauses to ensure your information remains protected.

11. Children

The website and summit registration are not directed to individuals under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The "last updated" date at the top of the page reflects the most recent changes. Material changes will be highlighted on the website or communicated by email where appropriate.
